All papers must follow the IEEE PES Conference Paper outlines as detailed in the PES Author’s Kit: Part 4b. Please note that the five page limit mentioned on PES Author’s Kit web page does not apply to EPEC 2016, which has an 6 page limit, with up to 2 additional pages permitted with the payment of additional page fees.

Verifying the Paper

All papers must be submitted in PDF format, and should be checked to ensure that all the necessary fonts have been correctly embedded. Adobe Acrobat Reader can be used to check the font embedding by opening the file, selecting File -> Properties… and looking at the information in the Fonts tab. The word (Embedded) must appear beside each font name — otherwise the reviewers may not be able to view the paper in its intended form. The procedure for embedding fonts varies with the tool chosen to create the PDF file, but most tools will have a setting or option to enable font embedding.

Notes on Embedded Fonts

Embedding fonts makes the resulting PDF file larger, but ensures that it always renders correctly. This is sometimes called “archive format”. Problems with missing embedded fonts can be difficult to explain. You will need to check the program that you used to create the PDF, and in some cases also investigate the settings in the programs used to create the figures and plots.

Microsoft Word on a Mac computer works fine, whereas Microsoft Word on a Windows computer often has the missing font problem. Microsoft Office 2007 has an optional add-in to export as PDF; under “options” ensure it is set for Standard Publishing optimization (not minimum size optimization).

If you are using Adobe Acrobat to produce the PDF, check the “press quality” option in the print menu. You can also check this tip on Adobe TV for adding fonts to an existing PDF document.

It has been reported that FreePDFConvert and cutePDF properly include fonts. LibreOffice (Export as PDF) also includes fonts.

Paper Revisions

Authors need to make the revisions required and then resubmit their papers before they can complete the copyright form. Once the technical committee has changed the status of the papers to accepted, authors will be able to complete the copyright form.

EPEC 2016 proceedings will be submitted to IEEE Xplore, EI Compendex and ISI Proceedings. The format of the paper should follow the IEEE conference paper style (IEEE Transactions style).

EPEC 2016 will only accept the electronic submission of a full paper in English. Detailed information on the paper format and procedure are below.
